1. Overview

This policy explains how long SiteTimePro keeps different types of data and how you can delete it. We keep your data while your account is active and remove it when you delete it or your account, subject to limited backup retention and legal obligations.

2. Account information

Your account details are kept while your account is active. If you delete your account, your personal information is permanently removed from the live system. We may retain limited account records (such as a record of the deletion) for security and audit purposes where required.

3. Job information

Jobs are kept until you delete them or your account. Deleting a job permanently removes the job and its linked records (calendar events, tasks, notes, reports, purchase orders, receipts and enquiries shared only with that job). Records shared with other jobs stay attached to those jobs.

4. Quotes

Quotes (including versions and history) are kept while their linked job exists. Deleting a job removes its quotes; deleting an individual quote removes that quote and its versions.

5. Invoices

Invoices are kept while their linked job exists. We may retain a record of invoices as required for tax, accounting or legal obligations even after a job or account is deleted, in line with applicable law.

6. Uploaded documents

Uploaded documents are stored in cloud storage linked to your account. They are removed when you delete the document or the job/account it belongs to, subject to backup retention.

7. Photos

Progress and site photos are stored against the relevant job and removed when you delete the photo, the job or your account.

8. Receipts

Receipt files and extracted receipt data are kept with their job. Deleting a receipt or the job removes the associated file and data. We may retain receipt records where required for tax or accounting obligations.

9. Calendar events

Calendar events are kept until you delete them or their linked job. Past events may be retained so you can view your activity history, and are removed with the job.

10. Team information

Team member records and job assignments are kept while your account is active. Removing someone from a job revokes their access to that job. Team records you create are removed when you delete them or your account.

11. Deleted jobs

When you delete a job, it is permanently removed from the live system along with the records linked only to that job. This action cannot be undone. Some data may persist in backups for a limited period before being permanently purged.

12. Account deletion

You can delete your account at any time from Settings. Deleting your account permanently removes your jobs, files and personal information from the live system. This action cannot be undone, so we recommend exporting any data you want to keep first.

13. Data export

You can export a copy of your data from Settings at any time. Export lets you keep your own backup of your jobs, customers and records before deleting anything.

14. Backup retention

We maintain backups to protect against data loss and to recover the service. When you delete data or your account, it is removed from the live system immediately, but copies may remain in backups for a limited period (generally up to 30–90 days) before being permanently purged. Backups are not routinely accessed except for recovery and are overwritten on their normal schedule.

15. Legal obligations

Where law, regulation or a legitimate business need requires us to keep certain records (for example, for tax or accounting purposes), we may retain that information for the period required, even if you delete your account. We will only keep what is necessary and will delete it once the obligation ends.

16. How to request deletion of your data

You can delete jobs, files and your account yourself at any time from within the app. If you would like us to delete specific data, or you are unable to access your account, please contact us via the Contact page with details of what you want removed. We will action verified requests without undue delay, as required by the UK GDPR.
