1. Overview
SiteTimePro uses artificial intelligence (AI) to assist you with estimating, pricing, suggestions, document extraction and everyday tasks. This policy explains which features use AI, how they work, and your responsibility when relying on their output. AI is a tool to support your professional judgement — not a replacement for it.

3. AI Quote Estimator
The AI Quote Estimator generates suggested labour hours, material lists, pricing ranges and quote totals from the job details you provide (such as trade, project type, region and dimensions). It uses an AI model to produce an estimate quickly. The estimate is a starting point based on the information available — it is not a fixed price or a guarantee of cost.
4. AI Assistant
The in-app AI Assistant answers questions and helps with tasks using the context of your jobs, customers, quotes, invoices and team. It reads the records relevant to what you ask and generates responses to help you work faster. Responses are generated automatically and may be incomplete or incorrect.
5. AI receipt processing
When you upload a supplier receipt or invoice, AI and optical character recognition (OCR) extract the supplier, date, line items, totals and other details. Extraction is automatic and may misread values, particularly on low-quality or unusual documents. Always confirm extracted figures against the original.
6. AI document extraction
For other uploaded documents (such as plans, purchase orders or material lists), AI can extract structured information to save you retyping it. As with receipts, extracted data is automatically produced and should be reviewed for accuracy before you rely on it.
7. Material recommendations
SiteTimePro can recommend materials based on the trade, project type and details of a job. Recommendations are generated automatically to help you build a materials list faster. They are suggestions only and may not be suitable for every job — confirm suitability, quantities and specifications before ordering.
8. Price suggestions
AI may suggest prices for labour and materials based on your past data, region and supplier information. Price suggestions are indicative. Material and supplier pricing can change frequently and may become outdated. The Material Price Checker compares saved prices against current supplier prices to highlight changes, but you must confirm the live price with the supplier before purchasing.
9. Confidence scores
Where an AI feature returns a confidence score, it is an estimate of how reliable the model considers its output to be. A high score does not guarantee accuracy, and a low score is a prompt to review the result carefully. Confidence scores are guidance only.
10. AI assists — you remain responsible
AI features exist to assist you. You remain responsible for checking all quotes, prices, invoices and calculations before relying on them, sending them to clients or making purchasing decisions. SiteTimePro does not warrant that any AI output is accurate, complete or fit for a particular purpose.
11. AI can make mistakes
AI models can produce incorrect, inconsistent or outdated results (sometimes called hallucinations). They may not account for site-specific conditions, local pricing, unusual materials or recent market changes. Always apply professional judgement and verify outputs against authoritative sources.
12. AI recommendations do not replace professional judgement
Nothing produced by SiteTimePro's AI features constitutes professional advice (including engineering, legal, financial or quantity-surveying advice). Where a decision has significant cost or safety implications, consult an appropriately qualified professional.
13. AI outputs may change as models improve
We update our AI features and the models behind them over time. As a result, the same inputs may produce different outputs on different occasions. We may also introduce new AI features in the future; we will update this policy and, where appropriate, seek your consent for materially different uses of your information.
14. Data used by AI
To produce AI output, we send the relevant job details and context to our AI provider. We do not use your data to train third-party models. See our Privacy Policy for how your information is handled.
15. Future AI features
We continue to invest in AI. New features will follow the same principles: AI assists, it can make mistakes, and you remain responsible for reviewing outputs before relying on them.
- AI-generated estimates and recommendations are produced automatically and assist your decision-making — they are not a substitute for professional judgement.
- Estimates are based on the information available at the time and may be incomplete or out of date.
- Material, labour and supplier pricing can change. Supplier prices may become outdated and labour estimates may vary on site.
- Always review all AI-generated figures, quotes, invoices and calculations before sending them to clients or making purchasing decisions.
